Changes to the 2013/14 Sports Federation Membership Explained
This year we are changinging Sports Federation memberships, offering you more choice and potential club development. All clubs currently requiring category A membership will need to choose an option. To see if this applies to your club see the attached current club list and your current and potential new option here.

At the start of the year Sport Brighton runs a committee training day. This includes a vast range of information on running your club. You can see the presentation from this day here.
Safety
As a student led club your committee has a duty of care to its members. To ensure you are fulfilling your duty of care your club must have:
- Completed a ratification form at the end of the previous academic year to officially register your committee and club.
- Up to date risk assessments for all your activities.
- A completed code of practice where appropriate.
- Have submitted leadership registration forms for any person(s) acting in an official leader role.

Ratification Forms
All clubs have submitted these for 2012/13. We are working on producing an updated form for the 2013/14 academic year. Any changes to your committee should be emailed to: This e-mail address is being protected from spambots. You need JavaScript enabled to view it
Risk Assessments
All official club activities need to be covered by an up to date risk assessment. Once completed you must ensure that you follow the guidance set out in the assessment and ensure that control measures are in place. If anything changes in terms of either the activity taking place, equipment being used or location then updates to your risk assessment need to be made.
Code of Practice
A code of practice details how your club operates. This helps to assign responsibility to individuals as well as providing useful information for handover when your club committee changes. This might be the type of activities you run, competitions you enter or how you operate your finances. You club's code of practice is unique to your club. We have provided a working template to help assist you in coming up with you initial code of practice.
Trip Form
If you intend on going on a trip then you will need this form completed prior to being sanctioned. This form helps you to consider the things you may need to put in place to ensure you are fulfilling your duty of care. It also provides Sport Brighton the contacts for your participants should there be an emergency. It is essential that any changes to this form are communicated to the student sports office.
Leadership Registration Form

Accident/ Incident report form
This is the official university form. If you have an incident/ accident in one of our facilities please make sure the duty staff are aware. If our staff carry out first aid on individuals then they will complete this form on your behalf. If you deal with the incident/ accident independently either on campus or off site then you will need to complete this form. Please complete the form and return to any Sport Brighton reception. Incidents also include near misses. It is essential this is done to ensure the incident/ accident is officially recorded. This can also help determine if there are issues that can be resolved to prevent further accidents/ incidents.
University of Brighton Emergency Procedures
Please make yourself and fellow committee members aware of the procedure. Follow this procedure in the event of any serious incident such as potential loss of life or media interest. See page 118 of the Club Committee Handbook for full details.
Finance
Centrally funded pre agreed claim form
Use this form for claiming back money from central Sport Brighton funds. All claims must be pre agreed. Standard recharges for petrol currently stand at the following rates:
- Brighton to Eastbourne/ Eastbourne to Brighton: £5 for round trip.
- Hastings to Eastbourne/ Eastbourne to Hastings: £5 for round trip.
Claimants must fully complete the form including student number and Sports Federation number. If you are unsure if you can claim please speak to the student sports office prior to incurring cost.
Own funds claim form
Each club has its own bank account managed by the Students' Union. You can see your clubs balance/ transactions at your nearest SU reception. To pay companies/ organisations/ student refunds you will need to complete this form and get two committee members to sign it (can't include a claimant). You account must have the funds in the account to make payments. There is no overdraft facility. Money can be paid into your account through your nearest SU reception.
Application for funding- Sports Federation
If your club requires additional funding you can bid for either loan or grants from the Sports Federation. Your completed form will be considered by the next Sports Federation Committee meeting. To find out when the next meeting is, contact the Student Sports office. If you are unsure then please contact Claire Slater for advice.
Individual BUCS entry personal contribution form
If your club is looking to enter BUCS individual or one off competitions then we suggest contacting the office to discuss this. We have limited funding available. All those that represent the university will need to pay a personal contribution (generally £25 but can change depending on competition costs) and will need a category B Sports Federation card. Any personal contributions for your club will need to be shown on this form and handed in with the money to a Sport Brighton reception.
Team match fee sheet for BUCS fixtures
Teams that compete in BUCS leagues will need to complete this sheet for every fixture. Forms are normally partly completed for you and will be left in your pegeon hole prior to your fixture. Match fees are set at £2.50 per player. Where substitutions are made the team can adjust the fee to reflect the playing time.
