Visiting Research Fellow privacy notice

As part of the arrangements for Visiting Research Fellows, the University of Brighton collects and processes personal data relating to your application. The university is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

What information does the University collect?

The university collects a range of information about you. This includes:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience and employment history.
  • in the event of your successful application we will process additional information such as your photograph for the purpose of identification and access to campus, CCTV, use of systems and services such as email, wifi, expenses etc.

The university collects this information in a variety of ways. For example, data might be contained in application forms, CVs or resumes, or collected through other documents, interviews or other forms of assessment.

The university may also collect personal data about you from third parties, such as references supplied by your current or former employers etc.

In the event of a successful appointment, the university may share your name, home institution and brief details about your research interests on our website.

Why do we collect your data?

The University needs to process data to assess your application and in the event of a successful application to enter an agreement with you. In some cases, the university needs to process data to ensure that it is complying with its legal obligations. For example, it is required to check all successful international visitors hold a visa that is appropriate for the purpose of the visit to the UK.

The university has a legitimate interest in processing personal data during the application process and for keeping records of the process. Processing data from applicants allows the university to manage the application process, assess and confirm an applicant's suitability as a Visiting Research Fellow and decide to whom to offer a position. The university may also need to process data from applicants to respond to and defend against legal claims.

The University will not use your data for any purpose other than processing your application and, in the event of your successful appointment, securing access to a University of Brighton IT account and assisting with your induction and time at the University of Brighton.

Who has access to data?

Your information will be shared internally for the purposes of the application and/or appointment process. This includes members of the Research Services department, the IT department, the relevant sponsoring academic and Head of School, Pro-Vice-Chancellor (Research and Enterprise) with responsibility for approval of Visiting Research Fellow appointments to the university.

Where is your data held?

Your data is held on the secure University network.

All data relating to Visiting Research Fellows is held within the UK and will not be transferred outside of the UK unless safeguards are in place to protect the data.

How long we will keep your data?

We will retain your data for a period of four years after your application. We may choose to keep the reference to your time as a Visiting Research Fellow at the university on our website for longer than this period.

The existence of automated decision making, including profiling, information about the logic involved, including the significance and the envisaged consequences of such processing for the data subject

We will not use your personal data for automated decision making/or profiling about you as an individual.
