Academic Registry

About the department

Academic Registry provides professional services to students and staff across the whole student journey from application to graduation. We aim to ensure students have a high-quality experience of administrative services at each stage of their time with us.

We work closely with the Pro-Vice-Chancellor (Education and Students), the Learning and Teaching Hub and the Evaluation and Policy Department to ensure that there is effective strategic integration between administrative services and the academic student experience.

Academic Registry comprises two main divisions: Registry Services and Quality Services, along with the Doctoral College and the Office of the Academic Registrar, which includes the department’s projects function.

Evaluation and Policy

About the department

The Evaluation and Policy department (EPD) provides data analysis, sector intelligence and evaluation on a wide range of higher education issues to support staff across the institution in delivering the university’s strategic priorities. We works closely with the University Executive Board to support its planning and enable evidence-driven decision making, particularly in relation to learning, teaching and the student experience.

Key areas of responsibility include:

  • Institutional surveys, including the National Student Survey and Graduate Outcomes survey
  • Teaching Excellence and Student Outcomes Framework (TEF)
  • Insight and evaluation to support the development and monitoring of the university’s Access and Participation Plans
  • Data analysis to support equality and diversity at the university, including Advance HE’s Athena Swan and the Race Equality Charters
  • Systematic interpretation and analysis of higher education policy developments to identify risks and opportunities for the university
  • Coordination of external consultation responses on behalf of the university
  • Monitoring, advice and action planning in relation to regulation of the university by the Office for Students.

Finance

About the department

The Finance department supports the university in planning, managing and maximising the value and use of its financial resources, in order to achieve its objectives in a sustainable, controlled and accountable way.

The five divisions of the department provide the following financial support services for the university:

Income and Payments

  • collects tuition fees from students and deals with all other sources of income
  • makes payments to suppliers, as well as reimbursing staff and students for travel expenses, bursaries and other items
  • is responsible for cash management and the university’s investments.

Payroll and Pensions

  • manages the payroll of over 3,000 full and part-time staff
  • oversees staff pension contributions and membership records.

Procurement Services

  • supports and advises on the purchase of supplies and services
  • advises on purchasing procedures and is involved in the negotiation of sector-wide contracts
  • is responsible for university-wide contracts for photocopying, stationery supply and insurance.

Accounting Information Services

  • provides budget support to schools and departments
  • maintains and develops the university’s main accounting system and provides a helpdesk for support and advice to users
  • provides management and financial information to budget managers, senior management, the Board of Governors and funding bodies
  • prepares the annual budget and financial statements of the university and its subsidiary companies
  • undertakes cost analysis complying with Transparent Approach to Costing (TRAC) guidelines
  • manages the tax position of the university and provides VAT advice
  • provides financial support to research contracts and a wide range of other income-generating activity.

  • supports capital funding and projects
  • undertakes financial appraisals and other project work
  • is responsible for financial forecasting and returns to funding bodies.

Human Resources

About the department

The department is responsible for the development of the university’s HR policies, strategies and procedures on all aspects of people management, including staff planning, recruitment and selection, pay and conditions of service, management development and employment relations, and via the Equality and Diversity team ensuring equality of opportunity for all staff.

Our HR Strategy has four main strategic themes: recruiting and retaining talent; building high quality leadership and management; developing staff communication and engagement; and building individual and collective performance. 

Departmental Management Team

The Director of People advises the university’s senior management team, is a member of the university’s executive board and attends a number of university committees. The Director of People manages the overall strategy of the department and is supported by the Deputy Director of HR, who deputises for her, drives forward the strategy and is supported by senior managers with responsibilities for divisions of the department, and an administrator.

Employee Relations

This area is responsible for services covering pay and reward, union relationship management, formal negotiating and consultation frameworks, pay and conditions of service, employment legislation impact assessment, policy development and review, performance management, HR advice and guidance, and formal casework management. 

Learning and Development

The Learning and Development team is managed by the Leadership and Management Development Manager who is supported by two Learning and Development Advisers and an Administrator who are responsible for the co-ordination of leadership and management development and training as well as staff induction.

HR Operations

This area is led by the HR Manager (Operations). HR Operations is the largest team in HR and consists of three small teams which work closely together to support managers and staff in a full range of their day to day activities. These teams are as follows: Recruitment and Orientation, HR Support as well as HR Systems, Information and Projects.

Equality and Diversity

The Equality and Diversity team is managed by the Equality and Diversity Manager who is supported by two Equality and Diversity Advisers and an Equality and Diversity Coordinator. The team who are responsible for institutional equalities strategies and policies, equalities charters’ work and staff engagement and awareness activities on equality, diversity and inclusion.

Information Services

About the department

Services we manage include:

  • the campus network, which covers 15 sites across Sussex and provides access to university resources and the internet from classrooms, libraries, offices and study bedrooms
  • four site libraries with over half a million library items and electronic information sources available on and off campus
  • an interactive student intranet with personalised home pages, email, course material, file storage, and printing
  • around 860 computers in open-access computer rooms and libraries
  • media centres with projectors, cameras, video and audio recording, video editing, tape copying, TV studios, off air recording
  • photocopying and binding services
  • advice, support, documentation and training to use the equipment.

We are responsible for IT, library, learning technologies, and print services, in support of all aspects of university activity. The department is divided into three sections:

Library Services

​We provide print and online resources, discovery tools, study spaces, training and support in four libraries located at each of the university campuses. Services are: Libraries, Learning and Teaching, and Research Support.

IT Services

We provide a range of digital infrastructure and IT support services to the university. IT Services is made up of the following sections: IT Services Desk, Telecoms, Business Systems, Network Services, Core Services, Technical Services and Unicard Services.

Learning Technologies and Innovation

We provide a variety of customer-facing technical services for staff and students across the university including: Portal Services, Central Media Services and eLearning Services.

Internal Audit

About the department

The Internal Audit Service (IAS) is responsible for carrying out an independent appraisal of all the institution’s activities, both financial and otherwise. It provides an independent assurance of the university’s internal control framework to the Governing Body and designated officer (the Vice-Chancellor).

The IAS carries out its work through an annual plan of audits and reviews which are approved by the Audit Committee. The audit work undertaken is drawn in the main from the areas of high risk as identified in the university’s strategic risk list. Reports which are produced following audits are discussed with managers and viewed by the university’s senior management team and Audit Committee.

The IAS has no executive role although it does provide advice on the development of new systems and day to day advice on the development of new practices in order to maintain its overview of the effectiveness of internal control arrangements.

The Director of Internal Audit provides an annual opinion to the Governing Body and designated officer on the adequacy and effectiveness of risk management, control and governance, and VFM and the extent to which it can be relied upon.

The IAS also has a responsibly to detect, prevent and investigate matters of irregularity or fraud and to liaise as necessary with external agencies in those investigations. The IAS provides a police liaison role in certain areas of activity between the university and different branches of the police service.

The IAS maintains a dialogue with the university’s external auditors to ensure there is no duplication of work.

Learning and Teaching Hub

About the department

The Learning and Teaching Hub works strategically with colleagues across the university to embed the education and student experience strategic priorities, focusing particularly on support for academic colleagues in relation to learning and teaching enhancement and innovation. We provide leadership in the following areas:

  • initial and continuing professional development, including: teaching qualifications and recognition, via the Postgraduate Certificate in Academic Practice and the Professional Recognition and Development scheme; support for Course Leaders; guidance for Personal Academic Tutors
  • expert support and pedagogic consultancy to schools, including via the School Learning and Teaching Partners
  • cross-university expertise in strategic areas such as: inclusive practice, digital learning, employability in the curriculum, curriculum enhancement, assessment and feedback, student partnership, peer learning, embedding academic and professional skills in the curriculum.

We also host the annual university Education and Student Experience conference, recognise and support excellence in learning and teaching via a series of awards and scholarships, and conduct research and evaluation into institutional initiatives such as the Inclusive Practice Partners project.

Marketing and Communications provides professional services to help colleagues and communities to communicate with one another and with our many different audiences. Occupational Safety and Health Services

About the department

The Occupational Safety and Health Services department is responsible for:

  • preparing and issuing safety policies and codes of practice
  • developing and implementing a health and safety strategy in accordance with the aims and objectives of the university corporate plan

Philanthropy and Alumni Engagement

About the department

The Philanthropy and Alumni Engagement department is responsible both for initiating and developing ongoing meaningful relationships with alumni (former students) and friends of the University of Brighton and also for the generation of philanthropic income from a range of external sources to help support the current priorities and future ambitions of the institution.

The collective term 'alumni' is used to describe the constituency of former students of the University of Brighton, Brighton Polytechnic and its associated colleges. The term 'friends' is used to refer to all other individuals and organisations with an interest in or association with the University of Brighton.

As part of the department's alumni engagement activities, it manages the alumni association. Via the association, it offers a range of benefits and services to our graduates worldwide and also produces an annual magazine which is sent to all contactable alumni across the world and also to our growing community of friends.

The department acts as a point of contact between former students and the university, helping graduates keep in touch with the university as well as with each other.

The department can provide organisational support for faculties and schools wishing to interact and engage with their alumni. In addition, it is responsible for coordinating fundraising and sponsorship activities across the institution with the objective of increasing the levels of philanthropic income received.

About the department

The Planning and Performance department (PPD) provides information, evidence and benchmarking required to support the University Executive Board’s decision making on institution-wide strategy and planning.

The department has responsibility for the management, oversight and delivery of all aspects of the academic and professional services planning cycle. It also provides analysis and insight to enable joined-up academic and business planning – advising on the strategic development of the university’s size and shape. Our expert wellbeing and advice services are dedicated to creating safe spaces for students to raise issues, concerns and general enquiries. Vice-Chancellor's Office

About the department

The vice-chancellor of the university, Professor Debra Humphris, is the chief executive of the university, and is responsible to the Board of Governors for all aspects of the management of the institution, and for the leadership of its staff.

The members of the University Executive Board work with a small team of administrative staff, with most members of the administrative team having a particular working relationship with one member of the University Executive Board, under the overall leadership of the office manager.

The senior line management responsibility of the University Executive Board covers both the academic work of the university and the central support departments. Colleagues in the VC’s Office therefore receive enquiries across a wide range of topics.

The department also encompasses the Legal and Governance team – which includes the legal services and information compliance and Sussex Learning Network and University Apprenticeships.
