Requesting personal information

The Data Protection Act 2018 gives you a right of access to the data which organizations hold about you, and specifies how that data can be gathered, used and disseminated. The Information Commissioner has provided guidance for the public.

Requests for access to personal data must be in writing, we will require proof of your identity so that we release the information to the correct person. To request information, please complete a request form and post to:

The Subject Access Request form is not obligatory but it designed to help us gather the information which we need to identify you, communicate with you and locate data about you. Failure to complete the form could delay processing of your request, as we may need to contact you for further information or clarification.

Study verification

If you are a student or former student seeking a replacement certificate, transcripts and other forms of verification of your study, please follow this process.

Exercising your data subject rights

Data subjects have a number of rights under the Data Protection Act, including the right:

  • To rectify inaccurate or incomplete personal information we hold on you.
  • to require the university to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing
  • to restrict the processing of your personal data in certain ways
  • to withdraw consent where we have requested and obtained your consent.
  • to object to certain processing of your personal data by us.

To exercise or your rights or for further information, please contact the Data Protection Officer dataprotection@brighton.ac.uk.

Once requested, the university will respond to the request without undue delay and within one month. Where the request is complex, the timeframe may be extended by a further two months. Should we need an extension will notify you within one month of original receipt of the request, to explain why an extension may be necessary.

University of Brighton Libraries Statement of Public Task

This statement, revised annually, sets out the functions that are within the University of Brighton’s Library Service’s public task under the EU Directive on the Re-use of Public Sector Information 2015.

Other information requests

The university regularly receives enquiries from parents and other third parties regarding students or staff, however in most cases the Data Protection Act strictly prevents us from disclosing information. There are however some circumstances where disclosure would be allowed – for example to a criminal investigation agency. In addition a student or staff member could consent to information being shared.

Please complete this form to request data (pdf), this us to ensure that the individual is aware of the data share and/or has consented to the data share and/or that another legal authority is in place to allow for the data share. There is no charge for this however if your request is unfounded or excessive or repeats previous requests then there may be an administrative charge – you will be informed of this as soon as we able to confirm the nature of your request.

Employers and agencies:

If you are an employer or recruitment agency requiring verification of study for a former student, you should request this via Higher Education Degree Datacheck (HEDD). This is an online verification service which verifies the University of Brighton awards. The employer or agency will need to register to use this service, and the former student will need to have completed a  consent form which the employer or agency will have to upload in order to give us permission to release confirmation of your qualifications.
